Who we are

This website is operated by [REGISTERED COMPANY NAME] (“AINALTAIR”, “we”, “us”), registered under [TRADE LICENCE / REGISTRATION NUMBER] in [JURISDICTION], with its office at [OFFICE ADDRESS].

We are responsible for the personal information described in this policy. You can contact us about it at info@ainaltair.com.

Information we collect

When you send a message through the contact form, we receive:

  • Your details: name, business email address, company name and, if you choose to give it, a phone number.
  • Your enquiry: the service you are interested in and the project details you write.
  • Your confirmation: that you agreed to us using these details to reply, and the time you sent the form.

To filter out automated spam, the form also checks a hidden field that people leave empty and how long the form took to fill in. These checks are used only to accept or reject the submission and are not stored with your enquiry.

To limit repeated submissions, your IP address is held temporarily in the server’s memory for up to 10 minutes. It is not stored with your enquiry. Our hosting provider, [HOSTING PROVIDER], may also record technical information such as IP addresses and requested pages in its server logs for security and operations.

If you contact us by email, phone or WhatsApp instead, we receive the information you include in that message.

How we use your information

We use the information you send us to:

  • reply to your enquiry and ask any follow-up questions;
  • prepare a proposal or arrange a call if you ask us to;
  • keep a record of our correspondence with you;
  • protect the contact form from spam and abuse.

We do not use your details for marketing unless you separately agree to it, and we do not sell your personal information.

Legal basis: [LEGAL BASIS: confirm with counsel, e.g. your consent and steps taken at your request before entering into a contract].

Who receives your information

Form submissions are delivered to our team using one or both of the following, depending on how the website is configured:

  • Email delivery: an email delivery service, [EMAIL PROVIDER, e.g. Resend], which sends the enquiry to our inbox.
  • Automation: a secure webhook to our workflow tool, [AUTOMATION / CRM PROVIDER], which records the enquiry for follow-up.
  • Hosting: [HOSTING PROVIDER], which runs this website.

These providers process the information on our behalf and only to provide their service. We may also disclose information where the law requires it.

Some of these providers may store data outside your country. [INTERNATIONAL TRANSFERS: confirm provider locations and safeguards]

Cookies and analytics

This website does not currently use analytics, advertising or tracking cookies, and it does not load third-party tracking scripts. Fonts and images are served from this website’s own domain.

If we add analytics or advertising tools in the future, we will update this policy first and, where the law requires it, ask for your consent before they run.

How long we keep it

We keep enquiries for [RETENTION PERIOD] after our last contact with you, then delete them. If your enquiry leads to a project, we keep the related correspondence for [PERIOD] to meet our contractual and legal obligations.

You can ask us to delete your enquiry sooner at any time (see “Your rights” below).

How we protect it

Measures in place on this website include:

  • encrypted connections (HTTPS) for every page and form submission;
  • validation and cleaning of everything submitted through the form;
  • limits on repeated submissions and automated spam filtering;
  • signed requests when enquiries are forwarded to our workflow tools, where that delivery is used.

No method of transmission or storage is completely secure, but we work to protect your information.

Your rights

Depending on the law that applies to you ([APPLICABLE DATA PROTECTION LAW]), you may have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct or delete it;
  • object to or ask us to restrict how we use it;
  • withdraw your consent at any time, without affecting earlier use.

To make a request, email info@ainaltair.com. We will reply within [RESPONSE PERIOD]. You can also complain to [DATA PROTECTION AUTHORITY].

Children

This website is intended for businesses and is not directed at children under [AGE]. We do not knowingly collect their information.

Changes to this policy

We will update this page when the way we handle personal information changes. The “Last updated” date at the top shows the latest version.
